PowerPoint Basics

Included in Blackboard you will find two Word documents which will take you step-by-step through the process of creating a PowerPoint presentation. The first document, PptBasics is for those of you who have an earlier version of Microsoft PowerPoint, from Office 97 through Office 2000. If you have Microsoft Office XP, or 2003, you will need to review the document named PptXPBasics. Both documents will explain how to do the essential techniques for creating a presentation.

With PowerPoint you can create:

  • A presentation (a slide show to view on screen)
  • Overhead transparencies (print to transparency film)
  • Handouts, outlines, and speaker's notes

Components

  • Text
  • Still graphics
  • Animated graphics
  • Animations applied to slide elements

 

  • Sounds (music, sound, narration, directions)
  • Video segments
  • Background templates or designs
  • Transitions


Procedure

Launch PowerPoint and choose the option to create a new, blank presentation.

Select the New Slide option and choose the Title Slide as your first slide. Subsequent choices are shown in the miniature slide layout screen.


TEXT
To enter text, simply click inside the text box and type. Highlight the text and apply font styles and colors as desired.


IMAGES
To add images, choose picture form the insert menu and then decide on clipart or a picture from file. Resize and reposition the image. The middle images in this set shows how the image was resized to fit the entire slide and then changed to a watermark, or washout (XP) design. Text on the slide was "brought to front" and changed to a light color in order to be seen over the darker image.

ANIMATION

Both text and images can be animated, having movement applied to their appearance on the slide. Select the object and choose Custom Animation from the Slide Show menu. Choose settings for Order and Timing to determine when and how each object is animated.


MEDIA
A variety of media file types can be used in PowerPoint presentations. Sounds files typically have extensions of .wav (wave) and .mid (MIDI); video files have extensions of .mov (Movie format used by QuickTime) or .asf (Advanced Systems Format). To add media, choose Movies and Sounds from the insert menu and then decide on movies or sounds from gallery or from file. It is also possible to run a music track from a CD or to record a sound. This choice allows you to provide narration for the slide. Decide if the media should play immediately when the slide is reached. You can also determine if media will play over several slides, or stop when the slide show advances to the next slide.


BACKGROUND
There are two ways to create a background for your presentation. The first is to choose a background template using the Apply Design Template from the Format Menu. The software comes with several templates, but it is also possible to search the internet for additional templates. Simply place these templates inside the template folder within Microsoft so that you can use them as additional choices from the design template menu. Template file names will end with the .pot extension.

You can also Design Your Own Background for your slides. Choose Slide Master from the View menu.

Use the standard graphic tools from the drawing toolbar to create shapes and lines. You can even insert clipart or photographs. The sample you see on the right uses a rectangle with a fill effect of the texture called woven mat, two brown lines and a small brown square.


TRANSITIONS
A slide transition is movement which occurs as a presentation advances from one slide to another. Some of the transitions available include Blinds, Box, Checkerboard, Dissolve, Random, Split, Strips, and Wipe.

Choose the speed and timing of the transition. You can choose to apply the transition to one slide only or to all the slides in the slide show.


PRESENT
When the slide show is complete, save it to disk. If you added fonts to your computer for use in the presentation, be sure to take the font with you when planning to use the slide show on a different computer. Remember to Review, Revise and Rehearse!

You can start the slide show by clicking on the projector icon in the lower left-hand corner of the screen, or by choosing View Show from the Slide Show menu.

To stop the presentation simply press the ESC key.
